VISIT KILI ADVENTURES'S BOOKING POLICY
Our Contract and Tanzania Safari Booking Policy
Tanzania Safari Booking Policy: All bookings are made with VISIT KILI ADVENTURES. By booking a tour with us, you agree to the following booking conditions. Your booking will be accepted based on these terms. The services included in your package are as outlined in your tour itinerary.
1 Deposit & Payment Requirements
To confirm your booking, payment requirements vary based on your travel date:
Booking More Than 14 Days Before Activity
10% deposit required for (Mt Meru Trek Tours, Kilimanjaro Hike)
30% deposit required for lodging/safari trips
Balance due upon arrival or as per payment schedule
Booking Within 14 Days of Activity
100% full payment required to secure your booking
Late bookings require immediate full payment for trip confirmation
Secure Payment Processing
All payments are processed securely through our PCI-DSS Level 1 compliant payment partner, DPO Group (Direct Pay Online).

2 Acceptance of Booking and Final Payment
Upon acceptance of your booking, you will receive a confirmation email, and a contract will be established between us. If you book within 7 days of departure, the contract will be valid upon receipt of your deposit. The balance of the tour price is due on arrival in cash.
3 Your Details
To confirm your tour with VISIT KILI ADVENTURES, you must provide all requested details along with the balance of the tour price. These details include full name as per passport, date of birth, nationality, passport number, passport issue and expiry date, any pre-existing medical conditions (for Mount Kilimanjaro and Mount Meru treks), and special dietary requirements. Your booking cannot be confirmed without providing these details.
Important: Medical Disclosure
Pre-existing medical conditions must be disclosed for high-altitude treks. This ensures your safety and allows us to provide appropriate support.
4 Cancellation by the Traveler
If you cancel your booking, cancellation fees will apply. Cancellation is only possible in writing. If you cancel a trip:
- At any time after your booking has been confirmed, VISIT KILI ADVENTURES retains 10% (camping trips) or 30% (lodging trips) as a non-refundable deposit.
- If you cancel 30 days or less prior to departure, we will retain 100% of the amount paid by you in connection with the booking. We advise you to obtain cancellation insurance at the time of booking to cover cancellation fees.

5 Cancellation by VISIT KILI ADVENTURES
We reserve the right to cancel a tour at any time due to factors such as terrorism, natural disasters, or political instability. If we cancel your tour, you can choose another departure date or receive a full refund. Refunds in such circumstances will reduce any unrecoverable costs. We are not responsible for any incidental expenses incurred as a result of your booking.
6 Booking Amendments
If you wish to transfer from one tour to another, you must notify us at least 56 days prior to the proposed departure date. A fee of $50 per person per change will apply. No amendments are permitted to your booking within 7 days of departure.
7 Inclusions
The price of your tour includes accommodation, transport, meals, drinks, National park fees (except for Kilimanjaro Day Hike, whereby you will pay by your card at the gate), and personnel as listed in the tour itinerary.
8 Exclusions
The price of your tour does not include international or internal flights, airport transfers, meals not specified in the tour itinerary, visa and passport fees, travel insurance, optional activities, and personal expenses.
9 Age & Health Requirements
a) Minimum General Policy
Our Mount Kilimanjaro and Mount Meru treks have a minimum age of 12 years if accompanied by an adult. All travelers under 15 must be accompanied by an adult.
b) Maximum General Policy
We have no upper age limit for most trips. Travelers over 70 should consider the physical demands of our treks. Travel insurance covering personal accidents, medical expenses, and emergency repatriation is compulsory for all travelers.

10 Group Departures
Our group tours are guaranteed to depart once they have one fully-paid traveler. Please contact us for group departures.
11 Passports and Visas
It is your responsibility to ensure you have a valid passport and necessary visas for your tour. We are not liable if you are refused entry due to a lack of proper documentation.
Important Notice
Ensure your passport is valid for at least 6 months beyond your travel dates and you have obtained all required visas before departure.
12 Travel Insurance
Travel insurance covering personal accident, medical expenses, and emergency repatriation is compulsory for all travelers and must be taken out at the time of booking.
13 Flexibility
Itineraries may be subject to alteration without prior notice due to local circumstances or events.
14 Change of Itinerary
We reserve the right to change the tour itinerary before departure due to unforeseen circumstances. After departure, changes may occur due to events outside our control.
15 Authority on Tour
Our guides have the final authority on tour matters affecting safety or wellbeing. Failure to comply with their decisions may result in expulsion from the tour.
Safety First
Guide decisions are made with your safety as the top priority. Please follow all instructions for your wellbeing.
16 Optional Activities
Optional activities are not included in the tour price and are not part of our contract.
17 Claims & Complaints
Any complaints should be raised with your guide during the tour. If unsatisfied, further complaints should be submitted in writing within 14 days of tour completion.
18 Severability
If any term in these booking conditions is unenforceable, it shall be severed, and all remaining terms shall remain binding.
19 Photos and Marketing
We may use images taken during the tour for marketing purposes unless otherwise notified by you.
20 Privacy Policy
Your personal information may be used for tour operation and marketing purposes. We do not share your information with third parties.
21 Applicable Law
These booking conditions are governed by Tanzanian law, and any disputes shall be resolved in Tanzanian courts.
Legal Jurisdiction
All legal matters are subject to the laws and courts of Tanzania.
